Who we are

What Expensafe holds

For each business that uses Expensafe we hold the receipts and invoices its people send, the details read from them (supplier, date, amounts, VAT, the last four digits of a card where printed), the bank and card statements the business uploads, and the names, email addresses and mobile numbers of the people the business sets up. We also keep a record of who did what and when, so that the records can be audited.

Our role

For the receipts and statements a business sends us, that business decides what is collected and why, and we process it on its behalf. For our own customer relationship and this website, we are the controller.

Where it is stored

Each business has its own separate database. It is stored in Western Europe (the EU) unless the business chooses another region when its account is set up. Receipt images are kept in the same region as the database.

Who helps us

Cloudflare hosts the service and stores the data. Meta provides WhatsApp, through which receipts arrive. Anthropic reads receipt images to pull out the details, under commercial terms that do not allow the content to be used for training. We do not sell personal information and we do not use it for advertising.

How long it is kept

Receipts and their records are kept for at least six years, as HMRC expects of a company's records, and for as long as the business remains a customer. When a business leaves, it can download everything first, and we then delete its records unless the law requires us to keep them.

Your rights

You can ask to see the personal information we hold about you, and ask us to correct it, delete it, or restrict how it is used, subject to any legal duty to keep records.
